Workload Planning

In collaboration with one of our clients Vega has developed a work activity scheduling and monitoring system. The system is available as a turnkey solution or can be customised if required. Built using the Vega Sirius application framework the system is secure and internet accessible.

The Task Activity Monitoring System has become a key tool in helping our client to proactively monitor their workload and rapidly reschedule/reallocate activities in response to changes in their business/staff availability.   With a strong escalation processing engine and reporting tool, it lends itself to being used for activities that have to be monitored and reported on regularly for internal or external compliance purposes. 

 

 

 

Key features of the system include:

	Flexible criteria for setting activities:        Defined locally or centrally        Assigned to individuals or groups of individuals        Set with a one-off or variable recurring frequency pattern
	Automated reminder and escalation process sends emails to individuals or their managers  as tasks fall due
	Real-time record of task completion
	Log of actual time spent versus estimated duration
	Calendar or list view of tasks which can be viewed by day, week or month – good view for line managers and staff
	Gantt Chart view of tasks and their status – good for MIS reporting and visualisation of workload for balancing
	Staff holiday planner and absence log

The system is built around a configurable organisation structure to which users are attached – this can take a feed from a company’s HR system.  Together with the Sirius Administration module it is possible to define which activities a user may have permission to view and edit.
